We are seeking a highly resourceful, organized, and proactive Virtual Assistant to provide key remote support to our management team. In this versatile role, you will streamline daily administrative workflows, coordinate schedule logistics, handle digital communications, and assist with behind-the-scenes event coordination as we prepare for our annual festival footprint.

Key Responsibilities:

• Executive & Calendar Management: Maintain executive calendars, schedule internal team alignments and vendor meetings, and manage daily schedule reminders.
• Email & Inbox Triage: Monitor, filter, and respond to incoming email inquiries, ensuring timely communication with sponsors, suppliers, and attendees.
• Administrative & Task Tracking: Manage digital task boards (e.g., Trello, Asana, or ClickUp), update event tracking documents, and maintain accurate digital filing systems.
• Supplier & Vendor Liaison: Coordinate communication with external vendors, contractors, and partners to ensure documentation and timelines remain on track.
• Basic Research & Reporting: Conduct research for event logistics, compile basic administrative reports, and assist with supplier quote comparisons.
• Event Coordination Support: Assist with remote operational prep leading up to key planning milestones and peak festival weeks.

Requirements & Qualifications:

• Virtual Assistance Experience: Proven experience as a Virtual Assistant, Executive Assistant, or Remote Operations Support Specialist.
• Exceptional Communication: Flawless written and verbal English communication skills, with a warm, clear, and professional tone.
• Tech & Digital Literacy: High proficiency with Microsoft 365 / Google Workspace, digital calendar tools, cloud storage (Drive/Dropbox), and project management software.
• Self-Starter & Problem Solver: High degree of self-motivation, outstanding time-management skills, and the ability to operate autonomously without micromanagement.
• Location & Availability: Remote role based in or around Cape Town to align with local operating hours and peak season requirements.
