Location: Somerset West, South Africa
Job Purpose:
Provide efficient travel, professional administrative, reception, reporting, and office coordination support that enables smooth business operations, enhances management effectiveness, and contributes to a well-organised, productive work environment.
Responsibilities:
Travel and Mobility Coordination (70%)
- Coordinate all domestic and international travel arrangements, including flights, accommodation, transportation, and itineraries
- Prepare and submit visa applications and supporting documentation to ensure compliance with travel requirements.
- Track, reconcile, and submit travel-related expenses and reports accurately and within required timeframes, travel policies and budgets.
- Act as the primary point of contact for employees, handling last-minute schedule adjustments and ad-hoc travel emergencies.
Reception and Front Office Support (25%)
- Provide support to Reception, ensuring a professional and welcoming experience for visitors, customers, suppliers, and employees.
- Assist with visitor management, meeting room bookings, and general front-office administration as required.
- Ensure reception-related processes are maintained during periods of absence or increased workload.
Office and Administrative Coordination (5%)
- Provide administrative support to management, ensuring the efficient execution of day-to-day business activities.
- Coordinate office activities, meetings, and administrative requirements across departments.
- Assist with the planning and execution of company events, staff engagement initiatives, and year-end functions.
- Support the maintenance of a professional, organised, and efficient office environment
Required Qualifications:
- Higher Certificate in Office Administration; Business Administration, Management Assistance, or a related field would be advantageous
Required Experience:
- 3–5 years' experience with travel co-ordination.
Travel and Logistics Coordination
- Experience arranging domestic and international travel, including flights, accommodation, transportation, and itineraries.
- Experience coordinating visa applications and travel documentation.
- Experience managing travel expense claims, reconciliations, and reporting.
Reception and Customer Service
- Experience coordinating day-to-day office operations and administrative processes.
- Experience supporting reception or front-office operations.
- Experience interacting professionally with clients, visitors, suppliers, and internal stakeholders.
- Experience managing visitor access, meeting room bookings, and general office inquiries.
Event and Function Coordination
- Experience planning and coordinating corporate events, meetings, workshops, team-building activities, and staff functions.
- Experience managing event logistics, suppliers, venues, catering, and budgets
Recommendations:
- Previous experience managing domestic and international travel arrangements, visa applications, and travel expense administration is desirable.
- Proficiency in Microsoft Office 365 and experience working in a professional corporate environment, particularly with multiple departments or international teams, will be an advantage.
Special requirement(s):
- To assist with emergency travel arrangements after hours.
