Role Overview

We are seeking a highly organised professional Sales Administrator to provide effective administrative and operational support to the Sales team. The role will be responsible for coordinating sales activities, maintaining accurate records, managing documentation, and supporting effective communication with clients and internal stakeholders, and account managing our Tier 3 clients.

Key Responsibilities

  • Provide day-to-day administrative support to the Sales team to ensure the smooth execution of sales activities.
  • Maintain accurate and up-to-date customer records, sales data, and CRM information, ensuring opportunities, contacts, contracts and sales activities are recorded and tracked effectively.
  • Prepare quotations, proposals, contracts, and other sales-related documentation in a timely and professional manner.
  • Support the preparation, administration and maintenance of customer contracts and commercial documentation, ensuring records remain accurate and up to date.
  • Support the end-to-end sales order administration process, ensuring sales orders are processed accurately, relevant systems are updated, and documentation is maintained throughout the sales lifecycle.
  • Coordinate meetings, appointments, and follow-up activities with clients and internal stakeholders.
  • Act as the primary point of contact for Tier 3 clients, providing account management support, coordinating client queries, and ensuring agreed follow-up actions are progressed in a timely manner.
  • Monitor and manage sales-related correspondence, ensuring enquiries are responded to or escalated appropriately.
  • Manage incoming sales enquiries, ensuring prompt responses, effective coordination with the Sales team, and timely follow-up with clients.
  • Support pipeline management by tracking opportunities and maintaining accurate sales records.
  • Generate and distribute sales reports, dashboards, and performance metrics as required.
  • Ensure all sales documentation is maintained and managed in accordance with company procedures and standards.
  • Collaborate with internal departments to support order processing, customer satisfaction, and service delivery objectives.
  • Identify and recommend opportunities to enhance administrative processes and improve operational efficiency.

Required Skills & Experience

  • Excellent organisational and administrative skills with a strong attention to detail.
  • Strong verbal and written communication skills.
  • Ability to effectively manage multiple priorities and meet deadlines in a dynamic environment.
  • Professional, customer-focused approach with strong interpersonal skills.
  • Confident in building and maintaining positive client relationships, with the ability to provide responsive account management support for Tier 3 clients.
  • Strong problem-solving, planning, and coordination abilities.
  • Ability to work independently while maintaining effective collaboration with team members.
  • Good analytical and numerical skills with the ability to produce accurate reports.
  • Proficiency in Microsoft Office applications, particularly Excel, Word, Outlook, and Teams.

Desirable Skills & Qualifications

  • Previous experience in Sales Administration, Customer Service, Business Support, or administrative role.
  • Experience working with CRM systems is advantageous.
  • Understanding sales processes and customer relationship management principles is beneficial.
  • Experience supporting client account management or managing customer relationships would be advantageous.
  • Experience supporting sales order processing, customer contract administration, or sales operations activities would be advantageous.
  • Relevant qualifications in Business Administration, Sales, Marketing, or a related field would be advantageous.
