Job description
A company based in Springfield Park is seeking a Procurement Officer
Daily Responsibilities
1. Purchasing & Supplier Coordination
- Review stock levels and generate purchase requisitions for fast-moving items (cement, nails, tools, plumbing fittings, electrical supplies, etc.).
- Communicate with suppliers to check product availability, pricing, and lead times.
- Compare supplier quotes and select the most cost-effective options.
2. Order Processing
- Prepare and issue Purchase Orders (POs).
- Follow up on pending orders to ensure timely delivery.
- Confirm shipment details and delivery schedules.
3. Quality & Compliance Checks
- Inspect incoming shipments for correct quantity, product quality, and adherence to specifications.
- Coordinate with the warehouse team to resolve discrepancies or damaged goods.
4. Documentation & System Updates
- Update procurement logs, inventory system, and supplier records.
- File delivery notes, invoices, and PO documents.
5. Internal Coordination
- Communicate with sales and store managers about low stock alerts or urgent orders.
- Respond to internal departments requesting special hardware items.
Weekly Responsibilities
1. Inventory Review & Replenishment
- Perform or review weekly stock counts for key hardware categories.
- Identify fast-moving, slow-moving, and out-of-stock items.
- Plan replenishment orders for the coming week.
2. Supplier Relationship Management
- Meet or call key suppliers to discuss performance, pricing updates, or stock challenges.
- Evaluate delivery reliability and escalate issues with recurring delays.
3. Cost & Price Analysis
- Review recent purchase prices and compare with market rates.
- Analyze hardware cost trends (steel, timber, copper, electrical components).
- Recommend price adjustments to the sales or finance team.
4. Performance & Compliance Reporting
- Generate weekly spend reports vs. budget.
- Track supplier performance KPIs (lead time, fulfillment accuracy, product quality).
5. Coordination with Management
- Attend weekly operations/management meetings.
- Present purchasing plans, stock-level summaries, and upcoming vendor promotions or deals.
Monthly Responsibilities
1. Strategic Procurement Planning
- Prepare the monthly procurement plan based on sales trends, seasonal demand, and supplier forecasts.
- Identify bulk purchase opportunities to reduce cost.
2. Supplier Evaluation
- Conduct formal monthly supplier performance assessments.
- Review contracts, pricing agreements, and negotiate improved terms where needed.
3. Budgeting & Financial Review
- Submit monthly purchase expenditure reports to finance.
- Review variances between planned and actual spending.
- Ensure procurement stays within budget limits.
4. Inventory & Stock Analysis
- Oversee full monthly stock take with warehouse.
- Analyze stock turnover rates and recommend items to discontinue or promote.
- Identify obsolete or slow-moving hardware items.
5. Process Improvement
- Review procurement processes for efficiency improvements.
- Update procurement SOPs if needed.
- Explore new suppliers or products to improve the company’s hardware portfolio.
6. Compliance & Documentation
- Prepare and file monthly procurement compliance reports.
- Audit supplier invoices against POs and delivery notes.
Qualification
· Matric is compulsory
· Higher education advantageous
· Minimum 2 years working experience
Skills required
· Excellent Communication skills
· Computer Literate with Excel
· Ability to negotiate
· Must be able to work under pressure in a fast pace environment
· Attention to detail
· Ability to follow instructions
