Job Advert Summary
Feltex is looking for an Office Administrator to provide administrative and secretarial support to the Trim Business Unit. The role involves managing office operations, coordinating meetings and travel, maintaining records, processing documents, and ensuring the efficient functioning of the department.
Minimum Requirements
- Matric Certificate/Grade12Certificate
- Diploma in Business Administration, Office Administration, Secretarial Studies, or a related field.
- 3–5 years' experience in an administrative or office support role in a manufacturing environment.
- Finance administration experience
Duties & Responsibilities
Executive Manager Support
- Manage and maintain the Executive Manager's calendar, appointments, and meeting schedules.
- Support Executive manager in collating Plant reports into one document to support alignment of plant activities
- Prepare routine correspondence, reports, presentations, and meeting documentation.
- Coordinate and arrange meetings, flights accommodation, including venue bookings and catering requirements.
- Take minutes during certain meetings and distribute action items where required.
- Assist with follow-up on outstanding actions and commitments.
Business Unit Administration
- Provide administrative support to the Trim Business Unit management team.
- Assist with compiling weekly and monthly reports.
- Support departmental communication and document distribution.
- Ensure administrative processes comply with company policies and procedures.
Travel and Logistics
- Arrange local travel, accommodation, vehicle hire, and transfers for the Executive Manager and employees where required.
- Prepare travel requisitions and assist with travel expense claims.
- Coordinate visitor arrangements and meeting logistics.
Office Administration
- Order and monitor office stationery and consumable stock levels.
- Coordinate maintenance requests and office service requirements.
- Manage boardroom bookings and meeting facilities.
- Support the organization of departmental events, workshops, conferences, and team functions.
- Maintain business unit filing systems, and administrative records.
Data and Document Management
- Capture, update, and maintain departmental records and databases.
- Ensure accuracy and confidentiality of business unit information.
- Monitor document retention and archiving requirements.
- Assist with the preparation and distribution of reports, presentations, and operational documents.
Communication and Stakeholder Support
- Serve as a first point of contact for internal and external stakeholders visiting or contacting the Business Unit.
- Ensure professional communication and timely responses to enquiries.
- Liaise with internal departments to facilitate effective business unit operations.
