Job description

Legal Tracker Administrator

We are looking for an experienced Legal Tracker Administrator to serve as the primary administrator and subject matter expert for the Legal Tracker platform. The ideal candidate will have strong Legal Tracker system administration and e-billing experience, with a proven ability to manage legal spend, support matter management processes, administer user access and workflows, and ensure compliance with billing guidelines. This role will partner closely with Legal, Finance, Procurement, and outside counsel to support the effective operation of the Legal Tracker system and related legal operations processes.

Key Responsibilities

  • Serve as the primary administrator and subject matter expert for the Legal Tracker system.
  • Configure and maintain system settings, user accounts, security permissions, workflows, and matter records.
  • Manage law firm and vendor profiles within the platform.
  • Monitor system performance and coordinate issue resolution with system vendors and internal stakeholders.
  • Maintain data integrity and ensure accurate matter and vendor information.

E-Billing Management

  • Administer the end-to-end e-billing process through Legal Tracker.
  • Review, validate, and process legal invoices submitted by outside counsel.
  • Ensure compliance with company billing guidelines and outside counsel policies.
  • Identify and resolve invoice discrepancies, billing exceptions, and approval workflow issues.
  • Partner with Legal and Finance teams to facilitate timely invoice approvals and payments.

Reporting and Analytics

  • Generate and distribute standard and ad hoc reports related to legal spend, matters, vendors, and invoice activity.
  • Analyze legal spend data and provide insights to support budgeting and cost management initiatives.
  • Maintain dashboards and reporting tools within Legal Tracker.

User Support and Training

  • Provide training and ongoing support to internal users and external law firms.
  • Develop and maintain system documentation, procedures, and user guides.
  • Assist users with troubleshooting system-related issues and process questions.

Process Improvement

  • Recommend and implement enhancements to Legal Tracker workflows and processes.
  • Support legal operations initiatives aimed at improving efficiency, compliance, and data quality.
  • Participate in system upgrades, testing, and implementation of new functionality.

Required Qualifications

  • Demonstrated experience administering the Legal Tracker platform.
  • Strong knowledge of legal e-billing processes and invoice management.
  • Experience working with legal matter management systems and outside counsel billing.
  • Proficiency in reporting, data analysis, and Microsoft Excel.
  • Strong organizational skills and attention to detail.
  • Excellent communication and stakeholder management skills.

Preferred Qualifications

  • Experience supporting a corporate legal department or legal operations function.
  • Experience working with Finance, Accounts Payable, or Procurement teams.
  • Knowledge of legal spend management, billing guidelines, and vendor management processes.
