Group Workshop Administrator / Creditor
Responsibilities / Procedures
Definition:
The Workshop Administrator will be responsible for ensuring the smooth running of the workshop with regards to all the administration aspects and coordinating a daily workshop schedule for associated activities.
Overall Purpose of the Role:
To ensure all administrative aspects of the workshop are carried out in line with management’s requirements.
Key Responsibilities:
1. Providing full administrative support to the workshop management.
2. To ensure no work is carried out without authorization where required.
3. Centre point of contact for all administrative departments.
4. Data Capturing.
5. Assist HR and Accounts office with arranging timesheets, submitting leave forms and maintaining the spreadsheet.
6. Responsible for the cleanliness of the workshop.
7. Responsible for the First Aid Box.
8. Maintains security by following procedures, workshop employees attendance, driver and staff where abouts.
Self-Management:

3. Able to manage time effectively, prioritise tasks timeously.
Procedures:
1. Monitor workshop staff time & attendance.
2. Assist HR with time and attendance registers for salaries and wages.
3. Collect supplier invoice packs from the buyer, ensure all is in order ie, Signed Purchase Order, Signed Quotation, Signed Delivery Notes etc.
4. Requesting supplier invoices.
5. Weekly processing of supplier invoices onto the accounting software programs.
(ie. Supplier purchases for the previous week will be captured in the new week on a Monday and handed over to the respective accounts department on a Tuesday).
6. Maintaining weekly purchase schedules (Supplier & Cash Purchases), forwarding to management.
7. Attending to all workshop queries until resolved.
8. Arranging for new mobile contracts when required.
9. Requesting quotations from suppliers.
10. Updating fuel recons daily.
11. Providing management with weekly updates.
Pay: From R7 500,00 per month
