Join Race Coast Kwa Zulu Natal as a GAAP Database Administrator - Be Part of Our Exciting Journey!

Race Coast is seeking a GAAP Database Administrator who will be responsible for maintaining and supporting the GAAP Point of Sale (POS) system and related databases for Race Coast KZN. The role ensures the accuracy and integrity of pricing, recipes, menu items, reporting, and system configurations across all Race Coast KZN Food & Beverage operations.

The incumbent serves as the primary liaison between Race Coast KZN, the IT Department, Hollywoodbets GAAP support and GAAP support teams to resolve system-related issues, coordinate upgrades and installations, maintain contracts and billing records, and provide ongoing support and training to branch teams. The role will also assist management through the preparation of reports and analysis to support operational efficiency and stock control.

What You'll Do:

Database Administration and System Support

· Maintain the Race Coast KZN GAAP database, including prices, recipes, menu items, promotions, specials, and daily specials.

· Provide first-line support to Race Coast KZN F&B branches for GAAP-related system queries, errors, upgrades, updates, and testing.

· Liaise with the IT Department, Hollywoodbets GAAP support and GAAP technical support teams to resolve system issues and improve database functionality.

· Assist branches with troubleshooting.

· Monitor database integrity and ensure information captured within the system is accurate and up to date.

Pricing and Menu Management

· Coordinate and implement approved pricing updates across Race Coast KZN branches.

· Ensure pricing, menu structures, and recipe information are accurately maintained within the GAAP system.

· Test and validate all database changes prior to implementation.

Reporting and Administration

· Complete month-end reporting requirements to support management accounts.

· Prepare ad hoc operational and analytical reports for management.

· Assist in the development and enhancement of automated reports in collaboration with GAAP representatives.

· Monitor and follow up on food and beverage server reports.

· Maintain daily system status reports and issue logs.

Vendor and Contract Management

· Coordinate the installation of GAAP equipment for new Race Coast KZN sites and ensure systems are correctly configured before implementation.

· Prepare and maintain GAAP-related contracts and supporting documentation.

· Monitor contract expiry dates and coordinate renewals where required.

· Conduct regular meetings with GAAP representatives regarding support, service delivery, system improvements, and commercial matters.

· Reconcile GAAP-related invoices, call-out charges, travel claims, and monthly billing.

Training and Operational Support

· Train branch staff on new GAAP procedures and system enhancements prior to implementation.

· Conduct branch visits within KwaZulu-Natal to assess system condition, functionality, and compliance.

· Ensure all Race Coast KZN F&B operations effectively utilise the GAAP system and adhere to established procedures.

Audit and Stock Control Support

· Assist with the resolution of Internal Audit findings related to GAAP and F&B operations.

· Support branch, regional, and operational management in investigating stock shortages, variances, wastage, and related issues.

· Provide system-based analysis and reporting to support operational decision-making.

General

· Maintain effective relationships with support departments and external service providers.

· Ensure compliance with company policies, procedures, and system controls.

· Perform any other duties reasonably assigned within the scope of the role.

What You’ll Need:

· Relevant qualification in Information Systems, Information Technology, Business Administration, or a related field.

· Computer Literacy (Microsoft Office Suite)

· Valid Driver's Licence

· 2–4 years' experience in administration, stock control, hospitality, or operational support environments.

· Proven experience in cash handling, banking procedures, reconciliations, and maintaining accurate records.

· Experience supporting POS systems, preferably GAAP.

· Experience within the Food & Beverage, Hospitality, Gaming, or Retail environment will be advantageous.
