EXECUTIVE ASSISTANT & BUSINESS DEVELOPMENT COORDINATOR (HUBSPOT) — REMOTE SOUTH AFRICA
Location: Fully remote — South Africa
Employment type: Full-time, 40 hours per week
Working hours: 9:00 a.m.–5:00 p.m. UK time, Monday to Friday
Salary: R27,000 per month

6tine is a UK-based commercial partnerships agency. We create precision introductions between developers, funders, JV partners, landowners, contractors and suppliers.
We are looking for a highly capable Executive Assistant & Business Development Coordinator to become the operational right hand to our Senior Business Development Manager.
This is not a passive diary-management or general administration role. You will be the person who makes sure important actions, deadlines, client follow-ups and CRM updates do not get missed. You will bring structure, pace and follow-through to a busy Senior BDM, allowing them to focus on meetings, relationships and developing new business.
You must be confident enough to prompt a busy senior colleague for a decision, organised enough to know what the week requires before Monday starts, and polished enough in writing and speech to communicate credibly with UK colleagues, clients and partners. You will take ownership, spot gaps and follow work through — not wait to be told what to do next.
WHAT YOU WILL DO
You will manage a fast-moving diary, meeting schedule and priority list for the Senior BDM. This includes arranging meetings, managing changes calmly, protecting priority time, issuing reminders and making sure that every meeting has a clear purpose, owner and next step.
You will maintain one accurate action and follow-up tracker. After calls, meetings and instructions, you will record the action, deadline and person responsible; send appropriate reminders; tactfully chase overdue work; and flag risks early. You must be comfortable following up with senior people in a professional, respectful and persistent manner.
HubSpot will be central to your work. You will use it every day to log activities and notes, create tasks, update contacts, set follow-up dates and keep commercial records accurate. You will make sure that client and commercial follow-ups are visible and completed, and you will identify stale or missing CRM activity before it creates a problem.
You will also support selected inbox correspondence, meeting preparation, documents and client communications. When authorised, you will communicate on the Senior BDM’s behalf with a high level of professionalism.
YOU WILL BE A STRONG FIT IF YOU HAVE
- At least three years’ experience as an Executive Assistant, Personal Assistant, senior administrator or business-development/sales-support coordinator supporting a director, founder, executive or senior commercial leader.
- At least one year of hands-on HubSpot experience. You must be able to explain how you use tasks, activity records, notes, reminders, contacts and follow-up dates to ensure actions are completed.
- Excellent spoken and written English, with the ability to write concise, polished and professional messages and communicate confidently with UK-based colleagues and clients.
- Proven experience managing a busy diary, changing priorities, setting reminders, tracking deadlines and following actions through to completion.
- The confidence and judgement to prompt, chase and hold people accountable tactfully, including senior stakeholders.
- Exceptional attention to detail and a methodical approach to CRM records, meetings, dates, commitments and client communication.
- A reliable internet connection, professional remote-working set-up and a laptop on which you can install and use HubSpot, Google Workspace or Microsoft 365, Slack, Teams and Zoom.
- Full availability during 9:00 a.m.–5:00 p.m. UK time, Monday to Friday.
Experience supporting sales, business development, commercial partnerships, property, construction or built-environment businesses would be an advantage.
WHAT SUCCESS LOOKS LIKE
Within your first three months, the Senior BDM has a well-managed diary, a dependable action system and current HubSpot records. Key actions are recorded, deadlines are visible, follow-ups happen on time and risks are raised early. Your support creates the space for the BDM to spend more time with clients and partners, confident that the operational detail is under control.

Shortlisted candidates will complete a short written exercise and practical scenario. This is designed to assess written English, diary prioritisation, HubSpot follow-through and professional judgement.
INTERVIEW AVAILABILITY
We will be conducting group interviews on Thursday 20 August and Friday 21 August. As we are recruiting at pace, applicants must be available to attend one of these sessions. We expect to appoint shortly afterwards, so early applications are strongly encouraged.
