Job Title: Event Executive

Role overview

As an Event Executive for the MEA region, you will be responsible for planning, coordinating, and executing Zoho's regional events portfolio in the Southern African countries . These include conferences, roadshows, executive round-tables, customer meetups, partner events, trade shows, and flagship events such as Zoholics.

You will work closely with regional marketing, sales, partners, vendors, speakers, and event agencies to ensure every event is delivered seamlessly.

Key Responsibilities:

1. Event planning and execution

  • Plan and execute physical, virtual, and hybrid events across Southern Africa with South Africa as the base country and Johannesburg as the base city.
  • Coordinate venue sourcing, logistics, registrations, travel arrangements, catering, branding, production, and on-site event management.
  • Manage event timelines, budgets, vendor contracts, and operational deliverables.
  • Ensure consistent brand representation across all event touchpoints.

2. Campaign and promotion management

  • Work with the regional marketing/product teams to create and execute event promotion campaigns.
  • Coordinate email marketing, social media promotions, paid campaigns, and partner outreach initiatives to drive registrations.
  • Collaborate with content and design teams to develop event collaterals.

3. Stakeholder and vendor management

  • Build and maintain relationships with event agencies, production partners, venues, suppliers, and media partners.
  • Negotiate pricing and manage vendor performance to ensure quality delivery and cost efficiency.
  • Coordinate with internal stakeholders including sales, product marketing, customer success, and leadership teams.

4. On-Site event management

  • Lead event-day execution and oversee all operational aspects.
  • Manage speakers, exhibitors, sponsors, registration desks, and attendee experiences.
  • Troubleshoot issues in real-time and ensure smooth event delivery from setup to wrap-up.

5. Reporting and performance analysis

  • Track event KPIs including registrations, attendance, engagement, pipeline influence, and ROI.
  • Prepare post-event reports and insights for continuous improvement.
  • Gather attendee feedback and recommend strategies to enhance future events.

6. Community building

  • Support customer, partner, and industry community engagement initiatives.
  • Identify opportunities to create meaningful networking and relationship-building experiences through events.

Required Qualifications:

  • Proven experience managing large-scale B2B events and conferences is a plus.
  • 1-3 years of experience in event marketing, field marketing, event management, or experiential marketing.
  • Bachelor's degree in Marketing, Communications, Business, Event Management, or a related field.
  • Strong project management and organizational skills with exceptional attention to detail.
  • Ability to manage multiple projects simultaneously under tight deadlines.
  • Excellent written and verbal communication skills in English.
