Job summary

The 3-month Fixed-Term Commercial Operations Specialist will provide administrative and operational support to DigiCert's Commercial Legal team. The primary focus of the role will be supporting the preparation, processing, execution and administration of commercial agreements. The successful candidate will also assist with routine contracting activities, internal requests and process improvement initiatives under the direction of the Commercial Legal team. This role would suit someone with experience in an administrative, operational, legal support, sales support or contract management environment who is interested in developing further experience within a global commercial legal function.

What you will do

  • Contract Execution and Administration:

    • Administer the signature process for a range of documents, including customer and channel partner agreements, order forms, amendments, non-disclosure agreements, supplier agreements and other commercial documents.
    • Format, proofread and finalise documents for execution, ensuring that approved terms are accurately reflected in the final version.
    • Coordinate internal and external signatures and ensure that documents are signed by the appropriate authorised representatives.
    • Review contract files for completeness and organise and rename documents in accordance with established naming conventions.
    • Upload, maintain and organise agreements, approvals and related records within DigiCert's contract lifecycle management and document repository systems.
    • Support contract activation, assignment and other post-signature administrative processes.
    • Track the status of contract and signature requests and help ensure that internal service levels and deadlines are met.
    • Identify missing information, inconsistencies or deviations from established processes and escalate these to the appropriate Legal team member.
  • Commercial Contract Support (Ad Hoc):

    • Prepare standard-form agreements, amendments, non-disclosure agreements and other routine commercial documents using approved templates and guidance.
    • Assist with the initial review of routine contract requests and identify provisions that differ from DigiCert's approved templates or contracting guidance.
    • Support the Commercial Legal team with the administration and progression of customer, partner and other commercial agreements.
    • Gather relevant background information and supporting documentation to help Legal team members assess and respond to contract requests.
    • Assist with updating standard contract templates, guidance materials, procedures and internal resources.
    • Work with cross-functional stakeholders to resolve operational/transactional issues, which includes Restricted Party List screening and reviewing order escalations
    • Develop an understanding of DigiCert's products, services and contracting processes to provide effective operational support.
    • Assist with contract intake, reporting, tracking and prioritisation during periods of high activity.
    • Support projects intended to improve contract workflows, signature processes, filing practices and operational efficiency.
    • Identify opportunities to simplify or improve administrative processes and make practical recommendations to the Commercial Legal team.
    • Support other Commercial Legal and Legal Operations projects as required.
    • Perform other related duties assigned during the fixed-term engagement.

What you will have

  • At least one year of experience in an administrative, operations, legal support, contract support, sales operations or similar role.
  • Strong organisational skills and close attention to detail.
  • The ability to manage multiple requests, prioritise effectively and meet deadlines in a fast-paced environment.
  • Strong written and verbal communication skills.
  • A proactive, practical and customer-service-oriented approach.
  • The ability to follow established processes while recognising when a matter requires further review or escalation.
  • Good judgment and the ability to handle confidential and commercially sensitive information appropriately.
  • A willingness to take ownership of assigned tasks and see them through to completion.
  • Strong interpersonal skills and the ability to work effectively with stakeholders across different teams and regions.
  • Proficiency in Microsoft Word, Excel, Outlook and Adobe Acrobat, together with the ability to learn new systems quickly.

Nice to have

  • Previous experience supporting a Legal, Commercial, Contracts, Sales or Sales Operations team.
  • Experience working with commercial agreements, contract administration or document execution processes.
  • Experience using a contract lifecycle management system, electronic signature platform or document management system.
  • Familiarity with legal terminology or commercial contracting processes.
  • Experience working within a technology, software, cybersecurity or other international business.
  • A relevant degree, diploma or certificate in business administration, legal studies, paralegal studies, operations or a related discipline.
  • Proficiency in German, French, Spanish, Italian or Dutch.
  • Highly organised, dependable and accurate.
  • A quick learner who is comfortable working with new systems and processes.
  • Practical and solutions-focused.
  • Able to work independently while collaborating effectively with a global team.
  • Flexible and comfortable operating in a changing business environment.
  • Willing to take a hands-on approach and assist wherever needed.
  • Accountable and committed to providing a high standard of internal customer service.
