Job description
We are currently looking for a highly motivated, well-presented, proactive, and dependable individual to join our team as a Rental Administrator & Office Support.
The successful candidate will be responsible for the day-to-day administration of our rental portfolio, including lease management, tenant communication, rental collections, payment processing, and maintaining the rental book.
Please note: Applicants must reside in Stellenbosch, Somerset West, or Kuils River. Applications from outside these areas will not be considered.
We are looking for someone who thrives in a fast-paced environment, works well under pressure, and can effectively manage multiple responsibilities. In addition to rental administration, the successful candidate will play a key role in supporting the day-to-day operations of the office, assisting with new agent onboarding, compliance administration, and providing general support to the management and sales teams.
Your role will be crucial in ensuring the smooth operation of our office and rental department.
Key Responsibilities:
Rental Administration
- Prepare, process, and manage lease agreements, renewals, and addendums.
- Maintain accurate records of tenants, landlords, and rental properties.
- Ensure all compliance and supporting documentation is up to date.
- Schedule and coordinate inspections and maintenance requests.
Rental Book Management
- Maintain and manage the rental book.
- Monitor monthly rental income and ensure accurate record-keeping.
Collections & Payments
- Collect monthly rental payments and follow up on outstanding amounts.
- Monitor arrears and implement collection procedures.
- Process landlord payouts accurately and on time.
- Capture and reconcile payments received and disbursed.
- Liaise with tenants and landlords regarding account queries.
- Assist with monthly financial reconciliations and reporting.
Office Support & Agent Onboarding
- Assist with the onboarding of new agents, including the preparation and collection of required documentation.
- Ensure new agents are properly set up with company systems, processes, and administrative requirements.
- Provide ongoing administrative support to agents and management.
- Maintain and update agent records and compliance documentation.
- Assist with the preparation of training materials, meetings, and company events when required.
- Manage general office administration and filing systems.
- Handle incoming calls, emails, and general enquiries professionally.
- Perform additional administrative duties and ad hoc tasks as assigned by management.
General Administration
- Provide administrative support to the rental department.
- Perform data capturing and general office administration.
- Answer rental-related queries professionally and efficiently.
- Assist agents with rental documentation.
- Provide general support to the team when required.
Requirements
- Previous experience in property rentals, administration, bookkeeping, or a similar role.
- Excellent organisational and time-management abilities.
- High level of accuracy and attention to detail.
- Proficiency in Microsoft Office (Excel, Word, Outlook).
- Strong communication and interpersonal skills.
- Ability to work independently and under pressure.
- Valid driver's licence.
- Own reliable transport.
- Fluent Afrikaans (Required) and English
