Job description

Our client, based in Johannesburg, is looking for an Administration Manager to join their team on a 3-month contract.

Office Administration

  • Perform secretarial, administrative, and clerical tasks to ensure efficient office operations.
  • Oversee and coordinate the work of administrative staff, ensuring efficiency and performance of the staff.
  • Manage office systems and procedures, including filing, correspondence, scheduling, and reporting.
  • Ensure necessary communication to staff and broader plant staff.
  • Prepare reports and spreadsheets to support business operations.
  • Provide administrative support to other company managers in line with company procedures resulting in efficient daily plant operations.
  • Coordinate and follow through with BBBEE process to certification
  • Coordinate with logistics team to ensure imports and exports process runs smoothly.
  • Provide Adhoc secretarial support on requested business travel arrangements.
  • Adhoc duties as required by business needs.

Human Resources

  • Manage end-to-end recruitment processes, including advertising roles, screening, interviewing, and onboarding new staff.
  • Handle employee relations, performance management, and ensure compliance with labor laws and company policies with the support of IR Consultant.
  • Administer payroll, benefits, and leave records.
  • Coordinate staff training and development programs.
  • Oversee retrenchments, layoffs, and disciplinary processes in line with regulations and company procedures with the support of IR Consultant.
  • Provide advice and guidance to management on employee performance, conditions, and expectations.
  • Compile relevant reports related company compliance of SETA training, BBBEE, LOGS and others as requested for review and submission.

Financial Support

  • Monitor and manage cash flow and report accordingly to financial support staff
  • Oversee accounts payable, accounts receivable, and banking operations.
  • Maintain accurate financial records and ensure compliance with accounting standards and internal policies with the support of Accounting team
  • Prepare and review financial reports to support decision-making.
  • Control and authorize money transmissions, payments, and reconciliations.
  • Ensure the effective use of the company’s cash management system.
  • Follow up on debtors’ overdue payments, following protocols for non-payments.
  • Ensure credit insurance is updated when necessary
  • Assist with auditing process

Qualifications

Essential

Bachelor's Degree or National Diploma in one of the following:

  • Business Administration
  • Human Resources Management
  • Office Management
  • Commerce (BCom)
  • Finance or Accounting

Advantageous

  • Honours Degree in Human Resources, Business Management or Finance.
  • Advanced Microsoft Excel certification.

Experience

  • 7–10 years' experience in office administration, HR and finance.
  • At least 3–5 years' experience in a management or supervisory role.
  • Experience managing recruitment, onboarding, employee relations and performance management.
  • Experience preparing budgets, financial reports and cash flow monitoring.
  • Experience coordinating BBBEE, SETA and other statutory compliance processes.
  • Experience working in a manufacturing, mining, metals, logistics or industrial environment would be advantageous

Technical Skills

  • Advanced Microsoft Office Suite (particularly Excel, Word and PowerPoint).
  • Strong financial administration and reporting skills.
  • Experience with accounting
  • Strong report writing and presentation skills

  • Valid South African driver's licence.
