Job description
A busy panel beating and towing company in Parow, is looking for an experienced Administration Clerk to take control of their front office, billing, and operational support. You will be the heartbeat of their administration—liaising with insurers, processing financial data, managing job cards, and keeping their towing logs meticulously organized.
Duties:
1. Administrative Duties & Client Liaison
- Perform general office administration including filing, data capturing, and document control
- Handle incoming calls, emails, and walk-in customer queries in a professional, customer-focused manner
- Maintain accurate, up-to-date records of towing jobs, repair orders, and customer details
- Prepare, open, and manage job cards, invoices, and quotations
- Liaise effectively with insurance companies, parastatals, suppliers, and customers regarding vehicle status and approvals
2. Accounts & Financial Administration
- Process invoices, receipts, and allocations utilizing Sage Accounting software
- Assist with debtor and creditor management, including routine follow-ups on outstanding accounts
- Apply basic to intermediate knowledge of costing jobs specifically tailored to insurance company compliance and standards
3. Data Management & Reporting
- Capture and maintain critical operational data using Microsoft Excel spreadsheets
- Generate regular reports on towing activities, job progress, costs, and revenue for management review
- Ensure absolute data accuracy, confidentiality, and proper record-keeping at all times
4. Operational Support
- Coordinate closely with tow truck drivers and workshop staff regarding job schedules and priorities
- Track, update, and maintain towing logs and vehicle movement records within the yard
- Ensure strict compliance with company policies, safety protocols, and administrative procedures
Qualifications:
- Grade 12 / Matric
- Years of Experience: Minimum 3 - 5 years of experience in a dedicated administrative or clerical role
- Industry Preference: Prior experience working within a panel beating workshop, towing operation, or the broader automotive industry is highly advantageous
- Sage Accounting: Proficient in invoicing, accounts processing, and general system reconciliations
- Microsoft Excel: Sound knowledge of Excel, including data capturing, basic formulas, formatting, and spreadsheet reporting
- MS Office Suite: Computer literate in MS Word and Outlook
