Job description
The Accountant will be responsible for the financial administration, reporting, monitoring and compliance support of the business activities including various projects. The role will ensure that project expenditure, supplier payments, beneficiary records, supporting documentation, budget tracking and monthly project reports are accurately prepared, reconciled and maintained.
The role is critical to ensuring that the project maintains strong financial controls, transparent use of funds, accurate reporting, audit-ready records and credible evidence of implementation.
Key Responsibilities
1. Financial Reporting and Project Administration
- Track project expenditure against the approved project budget.
- Maintain accurate records of all project-funded activities and costs.
- Support the preparation of monthly, quarterly and annual financial reports.
- Reconcile project expenditure, supplier payments, beneficiary support costs etc
- Ensure all expenditure is supported by valid invoices, proof of payment, procurement records and approval documentation.
- Monitor project cost categories.
- Assist with budget variance analysis and provide explanations for over- or under-spending.
- Maintain an audit-ready project finance file.
2. Monthly Project Reporting
- Compile financial inputs for monthly project progress reports.
- Support the collection and verification of project performance data.
- Ensure monthly reports are prepared on time and supported by accurate financial and non-financial evidence.
- Track key project indicators
- Assist in preparing responses to project-related finance, compliance, evidence, disbursement and milestone queries.
3. Monitoring and Evidence Management
- Maintain complete project records for each beneficiary.
- Ensure supporting documentation is collected, filed and easily retrievable.
- Support the monitoring of beneficiary agreements and other records.
- Capture and update financial and project information on the project monitoring system or digital platform.
4. Beneficiary and Supplier Payment Support
- Process payment documentation for suppliers, service providers and project-related costs.
- Check invoices against approved purchase orders, delivery notes and signed completion documents.
- Assist with beneficiary-related payment tracking and grant allocation records.
- Support compliance with internal procurement policies and project financial-management requirements.
- Maintain supplier and beneficiary payment schedules.
5. Budget Monitoring and Internal Controls
- Assist in monitoring project cash flow and expenditure forecasts.
- Identify and report budget risks, missing documents, irregular expenditure or potential compliance issues.
- Support the implementation of financial controls to prevent duplication, unsupported expenditure or incorrect allocations.
- Assist with monthly reconciliations between accounting records, project records and bank/payment reports.
- Maintain proper allocation of project costs to enable accurate reporting by activity, beneficiary and budget line.
6. Audit and Compliance Support
- Prepare schedules and supporting documents for internal and external audits.
- Assist with verification visits, expenditure reviews and monitoring missions.
- Ensure that financial records comply with project conditions, internal finance policies and applicable accounting standards.
- Support the preparation of management responses to audit findings or compliance queries.
- Ensure that all project documentation is retained in an organised and audit-ready format.
Minimum Qualifications
- National Diploma or Degree in Accounting, Financial Accounting, Cost and Management Accounting, Finance or a related field.
- Professional membership or registration with a recognised accounting body will be advantageous.
- Experience in project accounting, grant accounting, enterprise-development, skills-development or infrastructure-related projects will be advantageous.
Minimum Experience
- Minimum of 3 to 5 years’ experience as an Accountant or in a similar accounting role.
- Proven experience in financial reporting, reconciliations, budget tracking and expenditure management.
- Experience preparing monthly management reports and supporting audit processes.
- Experience working with supplier payments, procurement documentation and project cost allocations.
- Experience in donor-funded, grant-funded or development programmes will be an advantage.
Required Technical Skills
- Strong knowledge of accounting principles and financial controls.
- Good understanding of reconciliations, expense tracking, variance analysis and financial reporting.
- Proficiency in Microsoft Excel.
- Ability to work with accounting systems such as Sage, or similar systems.
- Strong document-management and filing skills.
- Ability to prepare clear financial schedules, summaries and supporting reports.
- Understanding of compliance, evidence management and audit requirements.
- Experience with monitoring and evaluation data will be advantageous.
